- Mistakes that make professors ignore emails
What is the acceptance letter?
For many CSC categories, especially Master's and PhD programs, a professor or university can give you a pre-admission or acceptance letter. It shows that a supervisor is willing to accept you. The way you ask matters, so use a short, polite and personal email.
How to find the right professor
Choose your university and program
Select universities that offer your major and are on the CSC list. Use the university's official English website.
Open the faculty or school page
Find the staff list of your department. Note professors whose research matches your field.
Read two or three recent papers
Search the professor's name on Google Scholar or ResearchGate and read the abstracts. Mention one paper honestly in your email.
Copy the official email address
Use the email shown on the university page. It usually ends with .edu.cn. Avoid unofficial addresses from random websites.
Prepare attachments
Your CV, study plan or research proposal, transcript and degree certificate in PDF. Keep each file small and clearly named.
Sample emails you can adapt
Do not copy these word for word. Replace every part in [brackets] and change the sentences so they match your real background.
Email 1: First email to the professor
Email 2: Polite follow-up after 7 to 10 days
Email 3: Reply when the professor shows interest
Email writing checklist
- Write one personal email to each professor. Never send a mass email with everyone in CC.
- Use a clear subject line that includes your level, field and the scholarship.
- Keep the email short: three or four small paragraphs.
- Mention something specific from the professor's research.
- Attach PDF files with clear names such as Ali-Khan-CV.pdf.
- Write your full name, country and contact details at the bottom.
- Wait 7 to 10 days before sending one polite follow-up.
Replies can take weeks, and some professors are not accepting students. Contact several suitable professors, in different universities, and stay polite and patient.
Never claim a paper, grade or award that you cannot prove. Universities check documents, and a false claim can cancel your application.
Frequently asked questions
When should I start emailing professors?
As early as possible, before the CSC application window. Many professors need time to reply and to prepare the letter.
How many professors should I contact?
Contact several suitable professors, with one personal email each. Do not send the same email to a large group at once.
What if the professor does not reply?
Wait 7 to 10 days and send one short follow-up. If there is still no reply, move on to other professors.
Do I need an acceptance letter for every CSC category?
It depends on the program and university. Some give a pre-admission letter, some do not require one. We confirm this for your case.
Should I write in English or Chinese?
English is fine for English-taught programs. Use clear and simple sentences.

Requirements can change each year and differ by university and program. Always confirm the final list on the official CSC study-in-China portal and your chosen university's admission page. CIES Study guides you, but scholarships are decided by CSC and the universities, so no result is guaranteed.
